Privacy Policy

Effective date: September 10, 2026

This Privacy Policy explains how Canadian Professor ( “Canadian Professor”, “we”, “us”) handles information for our invite-only beta AI Math and Science tutoring service for Ontario students in Grades 9–12. The service is operated from Ontario, Canada, and is available at https://canadianprofessor.ca.

Our Privacy Officer can be reached at canadianprofessor.support@gmail.com for any question, request, or concern about this policy or your information.

Who can hold an account

Every account holder must have reached the age of majority in their province or territory. Account holders are either a parent or legal guardian, or an adult beta tester we have specifically invited to evaluate the service.

Only a parent or legal guardian may create a profile that contains information about a real student and authorize that student’s supervised use of the tutor. An invited adult beta tester who is not that student’s parent or legal guardian must use fictional test profiles only and must not enter personal information about a real child.

Students do not create independent accounts. A student uses the tutor only under the supervision of the parent or legal guardian who holds the account.

Information we collect

Account and sign-in information (through Clerk). We use Clerk as our authentication provider. When you create an account, Clerk collects and manages your name, email address, and sign-in credentials. We receive and store a Clerk user identifier that links your sign-in to your household record; we do not receive or store your password.

Parent/guardian account information. We keep a household account record (an internal identifier and the date it was created) that associates the account holder with the student profiles they add.

Student profile information. For each profile, the account holder enters a name or nickname, a grade level (9–12), and the selected Math and Science courses. A parent or legal guardian enters this for a real student; an invited beta tester enters fictional test details only.

Tutoring questions and conversations. We process the questions a student types or submits by photo, requests for extra guidance or a full solution, and the back-and-forth conversation with the tutor. The conversation is stored so a tutoring session can continue across turns and so guided practice keeps its place.

Homework images. When a homework photo is uploaded, it is processed temporarily to read the question and any graph it contains, and is then discarded. Homework images are not intentionally saved to our systems. Text extracted from an image can become part of the stored conversation described above.

Practice history and learning progress. For each student profile we record which topics were practised, the number of attempts, an indicator of how independently the student worked, and short notes describing how the student is progressing on a topic. The account holder can see this progress information; it is kept separately for each student.

Technical and security information. Our hosting and authentication providers may process ordinary technical information — such as IP address, browser and device details, session identifiers, timestamps, and request diagnostics — as part of delivering and securing the service. We also keep limited server logs (for example, an identifier for a homework-image request together with its size and outcome) that are designed to exclude the image itself, sign-in credentials, and student names. The application does not include any advertising or analytics SDK.

Cookies and similar technologies. Our authentication provider sets a session cookie or token so you stay signed in and so your account is protected against certain attacks. We do not use advertising or cross-site tracking cookies.

How we use information

  • Provide the tutoring service and read homework photos;
  • Maintain sign-in and household accounts;
  • Keep a conversation going across turns and during guided practice;
  • Show learning progress to the account holder;
  • Keep the service secure, prevent and investigate abuse or fraud, debug problems, and improve reliability and quality;
  • Respond to support, access, correction, and deletion requests;
  • Meet legal and regulatory obligations.

AI processing and the providers we use

The tutor is delivered with the help of third-party providers that process information on our behalf so we can operate the service:

  • OpenAI — provides the AI models. We send tutoring questions, text extracted from homework images, and homework images themselves to OpenAI so it can generate tutoring responses and read homework photos. OpenAI processes this information as a service provider used to provide the AI functionality of Canadian Professor. OpenAI’s privacy practices are described in its privacy policy.
  • Clerk — authentication and household accounts.
  • Vercel — hosts the Canadian Professor website.
  • Render — hosts the tutoring service that runs the AI tutor.
  • Neon — the database that stores account records, student profiles, tutoring conversations, and learning progress.

We use multiple AI components, including review and checking steps, but AI responses can still be incomplete or incorrect.

Where information is processed and stored

Canadian Professor uses service providers that may process or store personal information outside Canada, including in the United States. When information is processed outside Canada, it may be subject to the laws and lawful-access requirements of that jurisdiction.

Our tutoring service and database are currently hosted in Ohio, in the United States (Render and Neon). Clerk, Vercel, and OpenAI may process information in the United States or in other locations, as described in their own privacy policies.

Retention

Information is generally retained while the account is active. Following a verified deletion request, information will be deleted or de-identified when reasonably possible, subject to legitimate security, legal, fraud-prevention, technical, and backup-retention requirements. Homework images are not intentionally retained after they are processed. We do not set a fixed retention period during the beta.

Access, correction, and deletion

The account holder can view and edit student profiles within the app. For access to, correction of, or deletion of account information, student profiles, tutoring conversations, or learning progress, email canadianprofessor.support@gmail.com. We may need to verify your identity and your authority over the account before acting on a request, and deletion is handled as described under “Retention” above.

How we protect information

We use measures such as authenticated access, encryption of data in transit, and server-side authorization checks so that one household cannot access another household’s data. We also limit what student information is shared with providers — for example, the tutoring service receives a profile identifier and the minimum context needed for a question, not your account sign-in. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

No sale of personal information; no advertising

We do not sell personal information, and we do not use personal information for advertising or ad targeting. We do not use student questions or conversations to build advertising profiles.

Parent/guardian responsibility and protecting young people

Where an account is held by a parent or legal guardian, that account holder is responsible for the student profiles they create, for the content submitted under the account, and for supervising their student’s use of the tutor. Invited adult beta testers are responsible for the content they submit and must not enter personal information about a real child.

Please do not upload unnecessary sensitive information

Ask students to submit only what is needed to get help with a question. Please avoid photographing or typing faces, home addresses, phone numbers, student or school ID numbers or cards, medical details, or other sensitive personal information that is not necessary for the question, and avoid including information about other people. If you are not a student’s parent or legal guardian, do not enter personal information about that child.

Questions and complaints

If you have a question or concern about how we handle personal information, please contact our Privacy Officer first at canadianprofessor.support@gmail.com so we can try to resolve it. If your concern remains unresolved, you may contact the Office of the Privacy Commissioner of Canada through its Report a concern page.

Changes to this policy

We may update this policy from time to time. We will revise the effective date above and, for significant changes, provide a notice through the service. If you continue to use Canadian Professor after an update takes effect, the updated policy applies to you.
